Time-block buffer planner
Try a one-day focus plan around sample meetings. Reserve at least 15 minutes between tasks and meetings, and see which work cannot fit.
Practical planning resources
Subtract meetings, administration, contingency and transition time from your workweek. Compare remaining capacity with estimated task effort.
Private by design: this calculator makes no network request with your inputs, uses no local storage and does not put values in the URL. Refreshing clears your entries. Use numerical examples rather than personal or confidential information.
Available task hours = working hours − meeting hours − fixed administration − contingency − transition buffers. Transition buffers = the number of actual transitions × minutes per transition ÷ 60. If fixed commitments exceed the week, available hours are zero and the overbooked amount is shown separately.
Start with 40 hours. Subtract 18 hours of meetings, 5 hours of administration and 3 hours for interruptions. Sixteen transitions at 15 minutes use another 4 hours. That leaves 10 hours. If your proposed actions need 14 hours, move, delegate or remove at least 4 hours of work; changing the estimate without changing the scope does not create time.
Count a shared gap once, not once for each neighboring event. Count overlapping meetings once for elapsed time, while separately resolving the meeting conflict. Do not subtract a lunch break twice if your working-hours figure already excludes lunch. The calculator cannot detect these assumptions from weekly totals.
The result does not predict your energy, estimate accuracy or meeting overruns. It also does not expand Critical Path scheduling hours: the current scheduler uses weekday 09:00–17:00 in the user's configured timezone. An 80-hour weekly budget does not open evenings or weekends. Use the number as a planning constraint, not a claim of calendar availability.
